Choosing the Right Security Provider: A Checklist for Venue Owners

Choosing a security provider is one of the most consequential decisions a venue owner or event organiser makes. The wrong choice can expose you to legal liability, jeopardise your licence, and put your guests at risk. The right choice gives you confidence that your venue is in professional hands.

Here is a practical checklist to guide your decision.

Licensing and Compliance

• All operatives hold current NSW Security Industry Licences — Ask for licence numbers and verify them through the NSW Police portal. No exceptions.
• The company holds a Master Licence — Security companies operating in NSW must hold a Master Licence in addition to individual operative licences.
• Public liability insurance — Minimum $20 million. Ask for a current certificate of currency.
• Workers compensation insurance — Protects you if an operative is injured on your premises.

Experience and Capability

• Relevant experience for your venue or event type — A provider with extensive nightclub experience may not be the right choice for a corporate gala, and vice versa. Ask specifically about comparable venues and events.
• Years in operation — Longevity in the security industry is a reasonable proxy for reliability and quality. New entrants may be excellent, but they carry more uncertainty.
• References — Ask for references from comparable venues or events and follow them up. A reputable provider will have no hesitation providing references.
• Team stability — High staff turnover is a red flag. A stable, experienced team delivers better outcomes than a revolving door of new operatives.

Operational Standards

• Pre-event briefing process — Does the provider conduct a thorough briefing before every event? Ask how they approach it.
• Incident reporting — Does the provider supply written incident reports? What do they contain? How quickly are they provided?
• Communication protocols — How does the team communicate during an event? What is the escalation process?
• Emergency procedures — Does the provider have clear emergency response protocols? Are operatives trained in first aid?

Professionalism and Fit

• Presentation — Are operatives professionally presented? Uniform, grooming, and demeanour matter — they represent your venue.
• Communication — Is the provider responsive and clear in their communication with you? Poor communication before the event is a predictor of poor communication during it.
• Transparency — Is the provider willing to answer your questions openly? Do they provide documentation without being asked twice?
• Cultural fit — Does the provider understand your venue and your guests? A security team that treats your guests with respect and professionalism is an asset. One that does not is a liability.

Pricing

• Clear, itemised pricing — You should know exactly what you are paying for. Vague pricing structures are a red flag.
• No hidden costs — Confirm whether the quoted price includes all costs — travel, equipment, supervision, reporting.
• Value, not just price — The cheapest option is rarely the best option in security. The cost of an incident that could have been prevented will always exceed the saving on the hourly rate.

Questions to Ask

When meeting with a potential security provider, ask:

1. Can you provide the licence numbers for the operatives who will be working my event?
2. What is your approach to the pre-event briefing?
3. What does your incident reporting process look like?
4. Can you provide references from comparable venues or events?
5. What is your process if an operative calls in sick on the day of the event?
6. How do you handle situations that require police involvement?
